Select Data Validation from the Data Tools group on the Data tab.
Select List in the Allow box on the Settings tab.
Type your list values in the Source field, separated by commas.
Make sure the In-cell dropdown check box is turned on.
Determine data sample. Determine the data to sample.
Check the database for errors. Before you relocate your data, make sure you have all of the necessary information in your current database.
Check the data format.
During entering, select the cell or cells you want to inspect. Click Data Validation in the Data Tools category on the Data tab to launch the Data Validation dialogue box.
Choose one or more cells to verify.
The Data Validation dialogue box appears.
Select Custom in the Allow box of the Data Validation dialogue window's Settings tab, then type your data validation formula in the Formula box.
Click OK.
Click the arrow next to Data Validation on the Data tab, then Circle Invalid Data in the Data Tools group. Any cells with improper data are marked with a red circle in Excel.
